2. FinePrint & pdfFactory ....the solution for the Department
2.1 We have many business documents within the dept -
invoices, purchase orders, reports, etc. and we use different
forms for each.
You can do away with pre-printed forms. Use electronic forms.
2.2 Some documents are made from several document types ( word, excel, pdf, pictures, etc). Example: Reports.
You may combine all of them
under Fineprint. Each can be seen as a separate job. You may re-sequence them
at any time. You may delete any job. When
you print , the final document will include all.
Instead of printing onto the
printer, you could print using pdfFactory as the printer. The document will
automatically be
converted to pdf. You may elect to set
security control before saving the generated pdf document.
2.3 You need to archive your documents.
Convert all to pdf
and set security controls ( no copying / no modifications allowed ) .Store them
in organized
directories for easy retrieval.
Example: All invoices stored in /invoice2008. All letters in
/letters2008.
2.4 There is a need to email business
documents. They must be protected from being copied and no modification
allowed.
These documents can be converted
into secured pdf documents. The security settings will
cover - use of
password to open and view, disallow modifications or copying content (text &
graphics ).
2.5 We like to save paper and ink.
Users may print draft copies without
color and pictures or choose grey scale.
You may print double sided regardless
of the printer model.
You may print multiple pages onto a
single sheet of paper.
2.6 We use pre-printed forms and these are mounted onto specific printers. It is troublesome.
Pre-printed forms
will be replaced with electronic forms. Business documents will be printed over
these forms.
Everyone may use the forms so
as to minimize secretarial support.
2.7 Document classifications are in force and users have to be careful in applying..
Classification can
be effected through the use of footer or watermark in each document. Different
logical printers
may be assigned to auto generate the
classification onto the documents.

3. FinePrint & pdfFactory ..the solution for the desktop user
3.1 User prepares all sort of documents and prints onto pre-printed forms.
Userimay print
letters, quotes and other business documents over electronic forms with ease. No
need for
pre-printed forms. No need for secretarial
support. He may print onto any printer.
3.2 User is concerned on the amount of paper waste and the amount of ink used.
User can save paper and
ink by
a. printing multiple pages onto a sheet of paper
b. printing drafts without images or print using gray scale
c. printing only specific pages of interest
d. printing double sided
3.3 User emails documents using zip.
User may print final
documents into secured pdf documents for emailing. pdfFactory allows user
to select
the security feature required for the pdf
document.
3.4 User has documents in different formats and need to
be able to retrieve when needed.
You may store final documents in pdf
format into organised directories.
